Ariavel Sourcing: one RFQ, from request to award
A buyer runs an RFQ with several suppliers. Each supplier answers through a private link, without a monday.com account. Ariavel compares the structured quotes line by line on landed cost. The buyer then finalizes a split award that stays on record.

- A procurement buyer tracks an RFQ in monday.com. But supplier quotes arrive by email and in spreadsheets, each in a different format.
- Ariavel Sourcing adds the supplier sourcing workflow to monday.com. The buyer opens a packaging RFQ.
- The RFQ has four lines, with quantities, target prices and a deadline.
- Six suppliers are selected for this request.
- Each supplier gets its own private link. Baltic Board has not been invited yet, so the buyer generates its link and shares it.
- The supplier opens the link in a browser. No monday.com account is needed.
- They quote line by line: unit price, lead time and minimum order quantity. Bubble wrap is outside their range, so they mark it as no bid.
- They add their terms and submit the quote.
- Back in Ariavel, the buyer builds the bid matrix. Five suppliers are compared line by line on landed cost, including freight.
- Partial bids stay visible but are not treated as complete. Scores weigh price, lead time and completeness, and the best price per line is highlighted.
- Next, the buyer creates an award scenario. The recommended scenario takes the lowest landed cost on each line.
- To spread supply risk, the boxes are split: three thousand to Baltic Board and two thousand to NorthStar, with a recorded reason.
- The buyer finalizes the award. It is locked for the record, with the savings against target.
- Inside monday.com, on Professional and Enterprise plans, each awarded supplier allocation can be written back as its own monday.com item, so split awards stay represented separately.
- Invitations, quote activity and award actions are recorded in the RFQ activity history.
- Ariavel Sourcing. From supplier quotes to a traceable award, on monday.com.
What the customer gets
- One structured record per RFQ: lines, invited suppliers, private links and their status, quotes, comparison and award stay together instead of in email threads and spreadsheets.
- Comparable quotes: every supplier answers the same lines, so prices, lead times, MOQ and no-bid lines can be compared without re-keying.
- A decision you can explain: landed cost, line coverage and scores support the award; manual choices carry a recorded reason, and the finalized award is locked.
- Back in monday.com: on Professional and Enterprise, the finalized award can be sent to a monday.com board, one item per supplier allocation (a split line becomes one item per supplier).
Recorded from the Ariavel Sourcing app running locally, outside monday.com, with fictional demonstration data. Board write-back runs only inside monday.com, so the walkthrough shows the control rather than an executed write. AI Bid Analyst is optional and advisory: it uses monday AI and never awards a supplier. It is not shown in this walkthrough. See How to use for installation and first-time setup.
