How to use Ariavel Sourcing

The core workflow

One RFQ, from request to award

Ariavel Sourcing adds a supplier sourcing workflow to monday.com. It does not replace your boards, forms or automations. External suppliers answer the same structured request through private links, without a monday.com account. You compare their line-level quotes and record the award.

  1. Create an RFQ

Add line items with quantities, units and target prices, a currency and a deadline. Your first RFQ

  2. Select suppliers

Choose suppliers from your Ariavel list or a connected monday.com supplier board.

  3. Share private supplier links

Generate one secure link per supplier, then copy it or open an email draft. Links are not sent automatically. Invitations

  4. Supplier responds

The supplier opens the link in a browser, with no monday.com account. They enter price, currency, lead time and MOQ per line, or mark no bid. Supplier portal

  5. Compare quotes

Build the Bid Matrix: landed cost per line, line coverage, lead time, MOQ and weighted scores. How bids are compared

  6. Review AI analysis (optional)

AI Bid Analyst uses monday AI to highlight trade-offs and questions to check. It is advisory only and never awards a supplier. AI Bid Analyst

  7. Build and finalize the award

Start from the recommended scenario or a blank one. Split quantities between suppliers and record override reasons, then finalize to lock the decision. Awards

  8. Write back to monday.com (optional)

On Professional and Enterprise, send the finalized award to a monday.com board, one item per supplier allocation (a split line becomes one item per supplier). Board write-back

Install & first run

Get started with Ariavel Sourcing

  1. Install when available

When the Marketplace listing is available, an account admin can install Ariavel Sourcing and approve its permissions: read boards (to use a supplier board), write boards (to create the awards board and award items), send monday.com notifications (deadline reminders), read your own name and role, and use monday AI on your behalf (ai:consume) for optional AI Bid Analyst requests. The app includes a 14-day trial with Professional features. If your account already has access, continue to the next step.

  2. Add Ariavel Sourcing

In a workspace, click + Add and choose Ariavel Sourcing. Anyone who is a member of the account can open it; guests can't see sourcing data.

  3. Complete the 5-step setup

The first time it opens, a short guide asks for your company name and support email (shown to suppliers), default currency and deadlines, and how bids should be weighted (price, lead time, completeness). You can change all of it later in Settings.

  4. Choose where suppliers come from

Keep suppliers in Ariavel's own list, or ask an account Admin to open Suppliers → Configure supplier source, connect monday.com securely and map an existing supplier board.

Prerequisites: use a monday.com account with Ariavel Sourcing installed and a full member role to create or edit sourcing data. An account admin handles installation and connecting a supplier board. AI Bid Analyst is included in paid plans and the 14-day Professional trial; it additionally requires monday AI access and available AI tokens.

Getting started

Your first RFQ in 5 minutes

If your account already has access to Ariavel Sourcing, add it to a workspace and follow these five steps. Public installation requires monday.com Marketplace approval.

  1. Add suppliers 1 min

Open Suppliers. Add suppliers to the Ariavel Sourcing list, or ask an account Admin to connect a monday.com supplier board and map its columns.

  2. Create an RFQ 2 min

Start blank or from an RFQ template. Add line items, a currency and a deadline.

  3. Invite suppliers 1 min

Generate a secure invitation link per supplier, then copy it or open a ready-made email draft.

  4. Collect & compare 30 sec

Quotes arrive through the portal or CSV import. Build the Bid Matrix to compare landed cost.

  5. Award 30 sec

Pick a scenario, split by line if you like, and finalize. The award is then locked for the record.

For buyers

Buyers guide

Everything happens inside your monday.com account. Your RFQ status moves forward on its own as you work:

  1. Draft
  2. Ready (marked ready for invitation)
  3. Collecting quotes (first invite)
  4. Evaluating (comparison built)
  5. Awarded (award finalized)

Suppliers & RFQs

  • Suppliers reads from a monday.com board or from the Ariavel Sourcing supplier list.
  • RFQ templates (Raw materials, Packaging, IT hardware, Services) prefill a new RFQ in one click. Everything stays editable.
  • Pipeline shows every sourcing event by status.
  • Attach documents such as specs and drawings to an RFQ.

Inviting suppliers

  • Invitation links are generated, not emailed automatically. Copy the link, or open an email draft in your own mail app.
  • Missing an email address? Type it inline next to the supplier.
  • Need a fresh link? Use New link. The old one stops working.

Quotes & comparison

  • Suppliers quote in the portal, typing prices directly or importing a CSV from the downloadable template.
  • The Bid Matrix converts quotes into your RFQ currency and allocates freight to show true landed cost. How scoring works.
  • The savings summary shows what you save against baseline.

Awards & records

  • Start from the recommended scenario or a blank one, and compare several side by side.
  • Split awards: give different lines to different suppliers.
  • Finalize makes the award immutable, so you keep a clean audit trail.
  • The activity log records who did what.

Connect a monday.com supplier board

  1. An account Admin opens Suppliers → Configure supplier source and selects Existing monday.com board.
  2. Choose Connect monday.com securely, then Continue to monday.com authorization. Approve the separate board connection's boards:read and me:read scopes in monday.com.
  3. Return to Ariavel Sourcing, choose Check connection, select the supplier board, map Supplier Name and any optional columns, then Save source configuration.

If the connection expires or loses access, the Admin can use Reconnect in the same drawer. If an active RFQ says a board supplier is no longer available, open that RFQ, remove or replace the unavailable supplier with a valid board supplier, and save before sending invitations. Completed RFQs keep their historical supplier snapshots.

For suppliers

Received a quote request? Welcome.

A buyer has invited you to quote through a private link. Just open it. That's all you need.

  • No monday.com account
  • No password
  • Only you see your prices

Filling in your quote

  • Open the link from the buyer's email. You'll see the requested items, quantities, currency and deadline.
  • Enter your unit price, lead time and any notes for each line.
  • Can't supply an item? Mark that line no-bid. Can't supply anything? Mark every line no-bid and submit.
  • Many lines? Download the CSV template, fill it in with your spreadsheet tool, and upload it.

Saving and submitting

  • Save a draft as often as you like and come back later with the same link.
  • When you're ready, press Submit.
  • Other suppliers never see your prices, and you never see theirs.
  • Keep your link private. If it stops working, ask the buyer for a new link.

Submitting is final. Please check your figures first. If you need to change something afterwards, contact the buyer.

Under the hood

How Ariavel compares bids

Fair, transparent and explainable. Every quote is brought to the same basis before it is scored.

Fair scoring for partial bids

For landed-cost scoring, price competitiveness on the quoted lines is multiplied by their coverage (the share of lines quoted). Lead time and commercial completeness are scored separately before the weighted contributions are combined.

The landed-cost score is adjusted for line coverage, then combined with the other weighted criteria.

"Best value" = highest weighted score

Landed cost60
Lead time20
Commercial completeness20

Default weights. Adjust them to your priorities in Settings.

AI-assisted bid analysis

AI Bid Analyst: review supplier trade-offs with AI

AI Bid Analyst reviews your current bid comparison and highlights cost differences, coverage gaps, lead-time and MOQ risks, supplier trade-offs and questions worth checking before award. It is optional and advisory. Human-controlled by design: AI never awards a supplier or changes your procurement data.

  1. Build a Bid Matrix

Build or rebuild the comparison for the RFQ, as usual.

  2. Choose Analyze with AI

The analysis runs only when you ask for it. Nothing is sent before you choose it.

  3. Ariavel sends a minimised, anonymised comparison

Ariavel sends numbers only to monday.com's hosted AI gateway: line labels (Line 1, Line 2 …), quantities, targets and quoted commercial values, with suppliers shown only as Supplier 1, Supplier 2 and so on. Supplier names and contact details, line descriptions, notes, attachments and document contents are not sent.

  4. Review the summary against the comparison

The summary lists priority items, cost, coverage, delivery and MOQ points, trade-offs, negotiation opportunities, questions to verify and data limitations. A supplier key on your screen shows who each label is; it is not sent to AI. The Bid Matrix stays authoritative.

  5. You decide

AI never awards a supplier or changes RFQs, quotes, suppliers or awards. Create and finalize awards in the award workspace as usual.

  • Optional. Core RFQ workflows remain available independently of AI token balance.
  • Included in all paid plans and the trial. AI Bid Analyst is included on Starter, Professional and Enterprise, and during the 14-day Professional trial. Ariavel does not charge a separate AI fee.
  • AI permission required. An account admin may need to approve the app's permission to use monday AI on your behalf after an update. Analyze with AI explains when approval is missing; core workflows continue normally.
  • Uses monday AI tokens. AI Bid Analyst uses monday AI. Availability and usage depend on your monday AI access and available AI tokens.
  • No automatic award. Severity labels are emphasis for your review, not a ranking or a recommendation.
  • Not stored. The analysis is not saved as procurement history. If the RFQ, quotes or comparison change, rebuild the comparison and request a new analysis.

When you choose Analyze with AI, Ariavel sends a limited, anonymised comparison of your RFQ and submitted quotes to monday.com's hosted AI gateway to generate an advisory summary. Supplier identity and contact fields, line descriptions, notes, attachments and document contents are excluded. Ariavel does not persist the generated analysis. Processing through monday AI and its providers is governed by monday.com's applicable terms and policies.

monday.com

Insights, board write-back and reminders

Use Insights to review savings and response rates. On eligible plans, send final awards to a monday.com board and receive deadline reminders.

Insights: your savings dashboard

Open Insights in the side menu. You'll see savings against your target prices and against the highest bid, awarded spend, how many suppliers respond, average cycle time from RFQ to award, your top suppliers and a 12-month savings trend.

  • Money is grouped per currency and never added across currencies. The main figures use your primary currency; others are listed separately.
  • Savings vs target need target prices on every RFQ line.
  • Starter shows the headline figures; the trend and top suppliers are Professional.

Send a finalized award to monday.com

After you finalize an award, choose Send to monday.com board. Ariavel Sourcing creates one item per awarded supplier allocation (supplier, RFQ, line, quantity, unit price, total, currency, savings, award date, status), grouped by RFQ. A line split between two suppliers becomes two items.

  • The first time, Ariavel Sourcing creates the board Ariavel — Purchase awards. Pick another board, or turn on automatic write-back, in Settings → Integrations.
  • Sending again never creates duplicates. Use Open board to jump to it.
  • Available on Professional and Enterprise.

Deadline reminders

When you open Ariavel Sourcing, the RFQ owner gets a monday.com notification if an RFQ closes within 48 hours, when every invited supplier has quoted, or when the deadline passed with quotes missing. Each reminder is sent at most once a day.

  • The same reminders always show under Needs attention on the Sourcing Events page.
  • monday.com attaches notifications to a board, so they need an awards board (Settings → Integrations). Turn them off there too.

Permissions Ariavel asks for

  • Read boards: your supplier board and the board picker.
  • Write boards: create the awards board and award items, only when you send an award.
  • Read your profile: your name as RFQ owner.
  • Send notifications: deadline reminders to the RFQ owner.
